Reports: Item Sales Report

This article reviews how to generate and read the item sales report within the Billfold Organizer Dashboard.

The Item Sales Report provides an overview of product performance during a selected time period. The report includes data on the quantity of items sold, revenue generated, and other relevant metrics to help businesses analyze sales trends and product popularity. This information can be used to identify best-selling products, track seasonal patterns, and make data-driven decisions regarding inventory and marketing strategies. Businesses may also use the report to uncover opportunities for cross-selling or upselling based on sales trends.

If any partial refunds were processed during an event, the Item Sales Report will not show the refunded item. For this reason, it is advisable to refund full orders to ensure accurate reporting.

How to Generate the Report:

Navigate to the Reports Tab using the left-side sandwich menu and select Item Sales Report from the report picker at the top of the page. Choose the event you'd like to review using filters at the top of the page. The filters allow users to refine data for specific Events or Revenue Centers.

The Item Sales Report can be exported in PDF, XLSX, or CSV format by selecting the Export button positioned above the report data.

How to Read the Report

Report data is grouped by item category (i.e., Cocktail Specials, Beer, Add-Ons, etc.). Filters can be applied to review sales during a specific time period, by revenue center, or by the employee who made the sale. To locate specific items, sort the report by Item Name using the arrow icons at the top of the column.

Net revenue per item is displayed in the Item Revenue column, with totals located at the bottom of the item category level, total category level, and then for all item sales at the bottom of the report. Scroll down to the bottom of the report to see the item sales summary by total category (Cocktail Specials, Beer, Add-Ons, etc.) and by Category Type (Food, Drinks, and Other). The grand total is located below the category type of the report at the very end.

To view top-selling items, including those that were comped the most, alongside profit in ascending or descending order, and more, use the sort button located to the right of the column titles. You can sort columns in either ascending or descending order based on any of the column titles. Revenue percentages for individual items are displayed in the far-right column to assist in assessing each item’s contribution to total revenue.

NOTE: If the report totals do not align with the Sales Summary Report, it may indicate that partial refunds have been issued. To confirm partial refunds, navigate to the Payment Transactions tab within the Event Dashboard and apply a filter for Status = Partially Refunded to review the affected transactions.
