How to Top-Up
Billfold's top-up devices can be used in various ways. For example, if you prefer not to accept cash at your registers, you can centralize your cash flow by having guests top up to an RFID card or wristband.
Topping up Card or Wristbands via the Organizer Dashboard
If you are topping up via the Organizer Dashboard, follow the steps below:
Log in to your Billfold Dashboard account.
From the left-hand menu, click Events to access your list of events.
Locate and select the appropriate event, then click View.
On the event page, click the Wristbands tab from the top menu.
If topping up a new band or card:
Tap Actions > New Wristband/Top-Up
Input the Wristband Number
Select Cash as the top-up method
Enter in the total amount to be topped up
Keep Purchases Without Pin selected
Select Save
If topping up an existing band or card:
Use Filters at the top of the Wristbands page to locate the band via Name, E-mail, Phone Number and/or the UID
Select the Band/Card by clicking it
Tap the three dots at the top of the screen > Select Top Up
Select Cash as the top-up method
Enter in the total amount to be topped up
Select Save
Confirm the Balance via the Balance Transactions tab within the wristband
Topping Cards or Wristbands via Cashier at a Top-Up Terminal
If you are topping up via the top-up termianl, follow the steps below:
Log in using your four-digit PIN code if you have not remained logged in.
If you are logged in, ensure you are starting on the start screen (there's a hand with a wristband indicating the start screen)
Tap the guest's wristband or card on the reader to bring up their RFID profile.
Once the RFID profile has been accessed, tap Top Up in the top right corner
Confirm the total value to be added and input it via the preset buttons or by selecting Other
Prior to confirming the top-up, tap the Profile Icon under the green checkmark to add key details
Name
Email
Phone Number
Address
PIN (This should not be added unless required)
Save the Profile via the green checkmark and then tap back to go back to the value screen
Once the value is confirmed, tap the green checkmark in the top right corner and then select the top-up type to apply
You're all done! If you'd like to check that the balance has been applied:
Tap the guest's band or card
Verify the balance
Select Go Back to get back to the starting screen
Refunding Top-Ups
How to Refund Remaining Cash Balances from Guest Wristbands via Dashboard
To issue a refund via the dashboard for guests who topped up their wristbands with cash and have a remaining balance, please follow the steps below:
Log in to your Billfold Dashboard account.
From the left-hand menu, click Events to access your list of events.
Locate and select the appropriate event, then click View.
On the event page, click the Wristbands tab from the top menu.
Use the search or filter options to locate the guest’s Wristband Number.
Review the Balance column to verify the remaining amount on the wristband.
Click the Actions button next to the wristband to initiate a refund — or click directly on the Wristband Number to view full wristband details.
In the refund screen:
Set the Transaction Type to Refund Cash.
Enter the amount you wish to refund.
Click the green Refund button to complete the transaction.
Physically issue the refund to the customer in the form of cash or cheque.
How to Refund Remaining Cash Balances from Guest Wristbands via the Top-Up Device
To issue a refund via the top-up device for guests who topped up their wristbands with cash and have a remaining balance, please follow the steps below:
Log in using your four-digit PIN code if you have not remained logged in.
Tap the guest's wristband or card on the reader to bring up their RFID profile.
Once the guest profile has been accessed, tap Refund under the green Top Up Button
Confirm the total value to be refunded, then tap the green checkmark in the top right
The refund has been confirmed; you can now hand the refunded cash to the guest.
Applying Partial Balances
Occasionally, a gift card or band may not have enough value to cover a total transaction. We can still use the balance remaining and apply it to the order by utilizing split payments.
Ensure Split Payments are enabled for the Revenue Center via the dashboard
Complete the transaction as normal, you and the guest will be notified of insufficient funds and the remaining balance on the Card or Band
Tap Try Another Wristband > Tap Back in the Top Left until you reach the payment methods screen
Select Split > Input the the value remaining on the gift card or band and tap Pay
Tap Wristband > Other for Tip and $0 > Tap the Band or Card on the reader
Once the partial payment has been applied, you'll be taken back to the remaining balance
Tap Pay > Select the Payment Method of Choice and allow the guest to select a tip and close out the order
