Dashboard: Vendor Orders & Reports

A resource for Vendors to view orders and reports.

Login to your account

To access your account via Billfold Dashboard please log in via https://vendor.billfoldpos.com/user/sign_in. If you did not receive the invitation to join Billfold Dashboard, please contact your vendor coordinator for the event and provide your email address.

Upon logging into the Vendor Dashboard, you’ll see a screen similar to the picture below with three options in the left navigation panel: EVENTS, REPORTS, CHANGE PASSWORD.

Events

The events you have access to are available in the list view. Most Vendors will only have access to one event. After clicking on an event, you can view Event Details, Orders, or Tabs.

Orders & Tabs

View transactions for a given time period. Use the filters at the top to hone in on the information you seek. Try clicking into each filter field, and you’ll see a list of options you can choose from. If you want to see more than one option in any filter field, click the first item, then go back and click the additional items in that field. To view specific orders, scroll through the list of orders and click the blue “VIEW” button on the right-hand side of the screen.

Upon clicking “View,” you’ll see the page display, which displays details of that specific order.

Reports

Billfold offers powerful reporting capabilities that allow event organizers to get a comprehensive overview of their business. It provides detailed reports for all aspects of their business, including sales, transactions, inventory, and employee performance. It also allows users to customize their reports to meet their individual needs. With its comprehensive reporting capabilities, Billfold provides business owners with the detailed information they need to make informed decisions and maximize their profits.

You can access two reports as a vendor: ITEM SALES, SALES SUMMARY.

Item Sales (Product Mix Report)

This report shows an itemized breakdown of product sales. It is a powerful tool designed to provide insight on the best-selling items and most profitable items. This report gives the net sales, sales tax, COGS (if entered for all items), and quantities sold per category.

NOTE: This report ONLY includes sub-total and sales tax. It does NOT include tips, chargeback deposits, donations, service charges, processing fees, or modifiers.

To generate a report, choose the merchant, event, and date range and click Filter. It is possible to filter by Vendor profile, Employee, Payment method, Order type, and Discount. It is also possible to group results by date by selecting the “Group by Date” checkbox. Results are grouped by Item name and category by default. A summary is at the bottom of the list. Click Clear to cancel filtering.

On the drop-down list, “show all” counts all items or ordered items only.

Sales Summary

This report provides you with a top-level view of your sales and includes all money received at the Revenue Centers to which you have access. To generate a report, choose the organizer, event, and date range and click Filter. It is possible to filter by Vendor profile, Payment method, Order type, and Discount title. Click Clear to cancel filtering.

The Sales Summary Report contains the following information: Employee, Gross Venue, Net Sales, Sales Tax, Tips, Discount, Service Charge, Donation, Processing Fee, Chargeback Deposit, COGS, Number of Orders, Average order, Average Tip.

To sort by one of these parameters, click on the name of the column.

  • Data is grouped by Employee.

  • The report is exportable in PDF, CSV, XLSX formats. Download runs automatically.
