How To: Table Management

Set up sections, configure physical table layouts, and manage open customer tabs using visual venue floor plans. This guide covers dashboard configuration, role permissions, and terminal operations in the Bartender app.

Sections, Tables, and Floor Plans

A Section is a group of tables within a Revenue Center. Each Revenue Center can have multiple Sections, or all tables can be added to a single Section if grouping is not required. These tables are used in the Floor Plan editor to design and arrange your venue layout.

Managing Sections and Tables

To view and manage Sections, a Dashboard user must have the appropriate permissions enabled for their Role. Once permissions are active, a Sections tab appears on each Revenue Center page within your event.

To create a new Section:

  1. Navigate to the Sections page and click New Section under Actions.

  2. Enter a unique Section name.

  3. Add at least one table using the Add Table button. Each table within a Revenue Center must have a unique name.

Archiving and Deleting:

  • Sections or individual Tables can be Archived.

  • Archived items do not appear in the Floor Plan editor for new or edited layout designs, but they will remain on existing Floor Plans until manually removed.

  • Restore archived items by changing their Status back to Active.

  • Sections and Tables can only be deleted if they have not been used to create any customer tabs during the Event.

Managing Floor Plans

A Floor Plan is a visual layout of your venue that displays tables to help employees simplify tab management. To use this feature, your Dashboard user Role must have Floor Plans Management permissions enabled.

To create a new Floor Plan:

  1. Navigate to the Floor Plans tab on the Revenue Center page.

  2. Click New Floor Plan under Actions.

  3. Enter a unique Floor Plan name.

  4. Add tables by dragging and dropping them from the list on the left into the grid area.

Editor Properties:

  • Move the placed tables using your mouse.

  • Adjust a table's width and height properties by dragging the table edges or by entering exact values in the Width and Height fields on the right side of the editor.

  • The Floor Plan grid has a fixed size, meaning the layout appears identical in the Bartender app as it does in the editor.

  • A single Floor Plan can include tables from multiple Sections.

  • The same table can appear in multiple Floor Plans to accommodate alternate venue layouts, such as dinner versus event setups.

  • Multiple Floor Plans can be created for the same Revenue Center. Employees can switch between them in the app using buttons at the top of the screen.

Organization and Archiving:

  • Change the display order of floor plans by dragging the grip icon in the Position column. The app displays floor plans in the exact order configured here.

  • Archive Floor Plans when they are no longer in use. Archived plans are hidden from the Bartender app. You can restore them by changing their Status to Active.

Reporting and Filters

The Table field is visible directly on the individual tab page.

The Tabs page of the Event and the Sales Summary report feature Section and Table filters. To utilize the Table filter, you must select the Revenue Center and Section first.

Bartender App Operations (v3.11.7+)

Table management within the Bartender app requires an active network connection at all times.

New Tab Card and Header:

  • The Tabs section in Order History displays tab records as individual cards.

  • The tab page header displays additional operational information.

Floor Plans Page Navigation:

  • The Floor Plans page automatically appears in the app when the selected Revenue Center has at least one Active Floor Plan.

  • All active floor plans are displayed, and employees can switch between layouts using tabs at the top of the page.

  • Employees can view tabs created by any other employee here, regardless of their specific Role. Terminal actions like Refund or Cancel still require standard role permissions.

  • The right side of the screen displays a list of all Open and Partially Paid tabs.

  • Tapping a table on the Floor Plan filters the right-hand list to display only the tabs assigned to that table. Tapping the selected table again or tapping a blank space resets the view to show all open tabs.

  • Tapping a tab card in the list opens the Tab Page, allowing employees to cancel tabs, apply discounts, or take payments based on their permissions.

Adding Items to a New or Existing Tab:

  1. Tap the +Tab button next to Checkout to view floor plans with the existing tabs list on the right.

  2. Select a table on the Floor Plan to filter the tab list if necessary.

  3. To add items to a new tab, tap Add to new tab at the bottom of the list. If a table is selected, the new tab is automatically assigned to that table. If no table is selected, the new tab remains unassigned.

  4. To add items to an existing tab, select the target tab card and tap Add to this tab at the bottom of the tab page.

Changing Tables: When a Floor Plan is active, you can reassign tabs to different tables using the Change Table action. This action is controlled by two Employee Role permissions:

  • Assigned tabs / Edit table: Allows an employee to change tables for their own assigned tabs.

  • Unassigned tabs / Edit table: Allows an employee to change tables for tabs belonging to other employees.

To reassign a table:

  1. Open the Tab Page.

  2. Tap Change Table in the Actions menu.

  3. Select a new table on the Floor Plan layout.

  4. Tap Change to confirm the table reassignment.

Troubleshooting

  1. Problem: Sections or Floor Plans tabs are not visible in the Dashboard.

    1. Fix: Confirm the user’s Role includes the View list permission for both Sections and Floor Plans.

  2. Problem: Tables are missing from the Floor Plan editor.

    1. Fix: Check if the individual tables or their parent sections are archived. Change their status back to Active.

  3. Problem: Cannot delete a Section or Table from the Dashboard.

    1. Fix: The table, or a table within that section, is likely assigned to an active or historical tab and cannot be deleted. Change its status to Archived instead.

  4. Problem: The Floor Plans section does not display in the Bartender app.

    1. Fix: Verify that the selected Revenue Center has at least one Floor Plan set to Active status.

  5. Problem: Unable to change a tab's table assignment in the app.

    1. Fix: Verify that the employee's role has either the Assigned tabs / Edit table or Unassigned tabs / Edit table permission enabled.
