Operational Checklist: Events and Venues

If you’re gearing up for an annual event or festival, this list will have you ready long before doors open.

Before Each Event:

Many of these steps can be accomplished days or even weeks before the event occurs.

  1. Confirm all devices and power packs are fully charged.

  2. If using wristbands: Confirm you have enough wristbands for the event. Make sure you have staff available to be "greeters." They will usher people to activation stations and let them know your event uses wristbands for payments.

  3. Create A New Event

    1. Copying an Event: This will transfer event details you may wish to change, including presentations and menus at revenue centers. Archived menu items will no longer be archived, so you may wish to delete them.

    2. For many events, the Bank Statement Name should change. This is what shows up on credit card statements. Update this in Event Settings.

    3. You may also create an event from scratch without copying a previous event.

  4. Transfer the Licenses from the most recent past event to the newly created event. You may also manually create licenses and assign them to devices individually.

  5. Update the presentations. Images must meet these exact specifications: 1164x1164px, JPG or PNG, no larger than 2MB.

  6. Confirm again that each device is:

    1. Turned on and fully charged.

    2. Attached to a power source or attached to a battery pack (tablets).

    3. Update to the new license​ via transferring on the dashboard or manually licensing.

    4. Verify the device is logged into the correct Revenue Center

    5. If applicable: Verify the Dual Screens are paired and connected

    6. If applicable: Verify the card reader is connected

    7. If applicable: Verify the printers are connected and set up

    8. If applicable: Verify the cash drawer is connected

  7. If required, update the Centralized Menu Management

  8. If not using Centralized Menu management, at each revenue center:

    1. Add or remove items and update prices.

    2. Each revenue center affected by changes must be updated. It's also a good idea to copy the SKUs of new items to each revenue center in order to more easily track item sales.

  9. If required, update your Employee Users and add them to the new event.
